Reopen a payment, and why a paid visit can't be deleted
How to reopen a visit's payment with Mark unpaid, what happens to a payment that covered several visits, and why you must do it before deleting.
Sometimes a visit was recorded as paid when it wasn't, with the wrong method or amount, or the visit itself has to go. Artisanly won't delete a visit that has a payment against it, because that money would be left belonging to nothing. Instead it says "This visit has payments against it. Reopen its payment first, then delete it."
Reopen the payment
- Open Payments and choose the By delivery tab. Search by store if the list is long.
- Find the visit. A visit that is paid in full shows Mark unpaid in the Action column.
- Choose Mark unpaid.
The payment is taken off that visit, which goes back to unpaid. If the payment covered only this visit, it is removed. If one payment covered several visits, as a payment at the counter often does, it is reduced by this visit's share and the other visits stay paid. Staff and admins can reopen payments.
If the money was right but recorded wrongly, record it again afterwards with Mark paid and the right amount and method.
Then delete the visit
- Open the shop and go to its Route tab.
- Under Deliveries, choose Delete beside the visit and confirm.
When it is refused
- The transfer has been reconciled. A payment matched to the bank can't be reopened, because that money has arrived. The visit stays as it is.
- Commission has been paid out. If the Seller's commission on the visit has already been paid, the visit can't be deleted. Ask an admin to correct it.
- A partner deleting a visit. Partners can delete only visits they recorded, and not once later deliveries that month were priced on top of it. Ask staff to correct it.
