Reconcile a bank transfer (Awaiting bank)

Why a payment by transfer shows Awaiting bank, where to find the transfers still to check, and how to reconcile one once the money has arrived.

Español

Cash and card are settled the moment they are recorded. A transfer is different: the shop says it has paid, but the money isn't confirmed until it shows up in your account. So a payment by transfer counts towards the visit straight away, and also waits as Awaiting bank until somebody checks the bank and reconciles it.

How a transfer gets recorded

Choose Transfer as the payment method on a delivery, or on Record a payment later. When a visit is paid by transfer, its receipt becomes a Delivery note, showing your bank details under Pay by transfer to and the amount To transfer. Admins set those details once, in Settings, Organisation, under Bank details for transfers: type them exactly as they should print, one item per line, and choose Save. Left empty, nothing is printed.

Find the transfers to check

  • The Dashboard's Today tab shows Awaiting the bank, with how many transfers there are to reconcile. Tapping it opens the list.
  • In Payments, the Unreconciled tab lists every transfer still waiting, with the shop, the day it was paid and the amount.
  • On a shop's Payments tab, Transfers awaiting the bank lists that shop's.

Reconcile a transfer

  1. Open Payments and choose Unreconciled.
  2. Match each line against your bank statement by shop, date and amount.
  3. When the money is there, choose Reconcile beside it.

The transfer leaves the list, and in the shop's payment history it shows as Reconciled. Staff and admins can reconcile.

Before you reconcile

Only reconcile money you can see in the bank. Once a transfer is reconciled it can't be reopened, and there is no undo. If a transfer never arrives, leave it unreconciled and reopen the visit's payment instead, so the amount is owed again; the article on reopening a payment explains how.
